Practilex is the name of our cloud-based legal practice management application (web app). It helps Canadian law firms and RCICs run immigration and other matters in one place: client files, deadlines, documents, billing, team workflows, and secure sign-in — including optional “Sign in with Google” for staff who choose it.
Practilex is professional-grade casework software built for Canadian immigration practitioners. Manage refugee claims, JR applications, and client communications — all in one place.
Privacy Policy — how we handle data for the Practilex application.
Every feature shaped by the realities of refugee law, appeals, and Federal Court practice — not retrofitted from generic legal software.
Organize every RPD, RAD, PRRA, H&C, and JR file with structured case timelines, document bundles, and hearing preparation checklists.

Secure client-facing portal for document upload, case status updates, and two-way communication. Clients always know where their matter stands.
Generate professional invoices, track retainers, log time entries, and monitor balances — all within the same workspace as your case files.
End-to-end encryption, consent management, data export and deletion. Purpose-built for the sensitive nature of refugee and immigration casework.

Log billable hours directly against cases. Run reports by file, client, or staff member. Generate time-based invoices with a single click.
Practice-wide insights: case volume trends, revenue by file type, team productivity, outstanding deadlines, and success rate tracking.
Automated conflict-of-interest screening across all clients and matters before new files are opened. Maintain professional obligations with confidence.
Unified calendar showing all hearings, deadlines, appointments, and tasks across your entire practice. Visualize workload at a glance.
Role-based access for lawyers, paralegals, support staff, and admins. Assign cases, track individual workloads, and manage distributed teams.

Practilex will automatically populate IRCC web forms using data already in your client file — eliminating duplicate data entry and the risk of transcription errors. Build your application in Practilex. Submit to IRCC in one click.
The Platform
A unified workspace — no more switching between five different tools to complete one task.
Your entire caseload — organized, searchable, and filtered by status, type, or deadline. Never lose track of a renewal date or missed filing again.
Upload a passport and watch the form populate. Answer "married" and the spouse section appears. Practilex's intake forms carry forward client history and respond to every input — so your team spends time on legal work, not data entry.
Document OCR runs entirely in the client's browser using Tesseract. No passport data, no personal information leaves the device — ever. Zero AI API credits consumed for document extraction.
Legal Assistant has full context of every file. It drafts, flags deadlines, cross-references IRCC processing times, and catches things you might miss after a long day.
Revenue trends, collection rates, high-value matter rankings, general ledger highlights, IOLTA trust accounting — all visible at a glance. Make data-driven decisions about hiring, pricing, and capacity.
Invite attorneys, associates, paralegals, and support staff from anywhere in the world. Set role-based permissions, track workload, and maintain accountability across locations.
Client Portal
Every client gets their own secure portal — a white-labelled window into their case. They see exactly what you want them to see: progress, documents, invoices, and a way to reach your team. No more chasing emails.
Pricing
No hidden fees. No 30-tool subscriptions. One platform, one price, everything included.
Everything you need to run a solo or small immigration practice — without the AI features.
The full platform including Legal Assistant AI — for growing practices that want intelligent automation.
For established practices. Full accounting module, trust accounting, and three included seats.
Practilex is proudly Canadian — built in Ontario, serving practices across Canada.
About Practilex
I came to immigration law through multiple doors. I started as a law student drafting applications, then as a law clerk processing files in a busy practice, then as a Regulated Canadian Immigration Consultant advising clients directly — and eventually as a licensed attorney in Nigeria, Ontario, and Alberta. At every stage, in every role, I watched the same problem repeat itself: when information moves between systems, things fall through the cracks.
Not because anyone is careless. Because the tools don't talk to each other. My firm was running QuickBooks for billing, a separate platform for document management, a spreadsheet for tracking deadlines, a shared drive for client files, and a WhatsApp group to keep the team coordinated across cities. Five subscriptions. Each one powerful on its own — and we were using maybe 10% of each. The rest of the time was spent on data entry, re-entry, and reconciliation.
The real cost wasn't the subscriptions.
It was standing in front of a client explaining how a document got lost in transit between systems. It was a deadline missed because a note never made it from the intake form to the matter file. It was staff spending Friday afternoons re-entering data that already existed somewhere else.
So we built Practilex — first for ourselves, at Hilltop Attorneys and Smile Immigration, our immigration practice. One platform where intake, matter management, document storage, time tracking, billing, client communication, and team coordination all live together. Where a note added to a file is instantly visible to every team member who needs it. Where nothing has to be copied, re-typed, or chased down.
We ran it in production for a year — real IRCC applications, real spousal sponsorships, real refugee claims, real money — before we decided to share it. It is not a startup idea. It is immigration case management software built by practitioners who live the work, for practices that can no longer afford the cost of fragmentation.
After one year in private use across Canadian immigration practices spanning Ontario and Alberta — Practilex is now open to law firms, RCICs, and immigration consultancies across Canada.
Practilex is designed with LSO, LSA, and IRCC compliance in mind. Data is hosted on Canadian servers. Trust accounting features follow Law Society trust accounting guidelines. That said, as a practitioner you remain responsible for your own compliance — we strongly recommend reviewing Practilex against your specific law society's technology requirements.
Yes — if your current system can export a .csv, .xls, or .json file, we can migrate from it. That covers virtually every platform on the market: Clio, PCLaw, QuickBooks, custom spreadsheets, and everything in between. You can also import documents directly — from your desktop, Google Drive, or OneDrive. Every new firm gets a guided onboarding session; when you join the waitlist, tell us what you're coming from and we'll walk through your specific setup.
Practilex is built for Canadian immigration practice and is primarily designed for IRCC matters — Express Entry, spousal sponsorships, work permits, study permits, refugee claims, and appeals. We support attorneys and RCICs across all Canadian provinces.
Early access members will receive a 60-day full-featured trial before any billing begins. Join the waitlist to secure your spot — early members also receive preferred pricing locked in for the life of their subscription.
Legal Assistant is a context-aware AI that has access to your matter files, client records, and document archive within Practilex. It can draft correspondence, summarize case timelines, identify deadline conflicts, and answer questions about IRCC processing times. It does not have access to any other firm's data — your information stays strictly within your workspace.
Practilex launched in immigration because that's where the complexity is sharpest — but the platform is built to serve any legal practice. Family law, criminal defence, real estate, corporate — the same infrastructure applies. Here's what's being shipped over the next six months.
Timelines reflect internal targets, not commitments. Early access members influence what ships first — tell us what matters most to your practice.
Practilex is in private early access. We're onboarding practices one at a time — so we can give each firm the attention it deserves. Tell us about yourself and we'll reach out when your spot is ready.
No credit card required. Your information is kept private and never shared.
